We are looking for a Payroll & Benefits Coordinator - Brazil. This is a key role in administering Payroll and Benefits for approximately 210 employees in Jacarepagua -Rio de Janeiro (plant) and Sao Paulo to provide first class payroll, benefits and onboarding experience. 

The ideal candidate is a self-motivated team player with a strong sense of ownership and a "get things done" attitude. You’re effective at managing multiple projects at once, process driven, very detail-oriented and organized, like to be busy and productive, learn quickly, and have a track record of being adaptable.

This role will be located in Jacarepagua - Rio de Janeiro.

 

YOUR ROLE

Payroll Administration

  • Responsible for payroll process and benefits administration ensuring compliance with all applicable regulations, each country labor laws for both: the Sao Paulo location and Jacarepagua (plant site). 

  • Ensure accurate and timely payrolls, process improvement, data integrity and systems synchronization.

  • Manage payroll vendor ensuring services are delivered accurately and timely.

  • Ensure compliance with legal obligations and that all legal reports have been correctly submitted, as well as quality of reports sent to accounting.

  • Responsible for design work instructions and Standard Operating Procedures for all topics related to payroll;

  • Manage payroll calculation process with third party payroll provider or inhouse processing team

  • Support the development of internal and external communications for specific payroll and processes.

  • Serve as the owner for audits (both internal and external)

  • Support payroll projects and cross functional projects with payroll dependency

  • Update and maintain payroll process and administration documentation

  • Partner with the Transformation team to evaluate payroll processes and identify opportunities for improvement.

  • Manage relationship with Sao Paulo and Rio de Janeiro unions.

  • Assist with prepare the company budget for both location (employee costs) and expenses

  • Work on digitalization and automation of payroll and benefits processess.

Benefits Administration

  • Support the administration of sourcing and onboard new benefits providers

  • Administer benefits having an in-depth knowledge of the products offered

  • Solve benefits queries coming from employees

  • Enroll new employees in existing plans

  • Deal with health insurance, pension plan, providers

  •  Keep all the information about providers and related processes tracked and organized.

  •  Work closely with the billing department to ensure that all our benefits are correctly invoiced to clients monthly.

  • Manage benefits contract renewals

  • Work with Transformation team to improve benefits process and structure of benefits offereD.

 

YOUR BACKGROUND

  • Minimum of 7 years of experience in Payroll and Benefits Administration

  • Familiarity with Brazilian labor laws and union negotiations

  • Excellent communication skills with a customer-centric approach and the ability to work with diverse teams.

  • Strong multitasking and organizational skills with an ability to prioritize and meet short deadlines

  • Project management skills to handle multiple HR tasks simultaneously.  

  • Be process-oriented and have critical thinking skills.

  • Ability to solve complex problems and take a new perspective on existing procedures.

  • Experience managing third party providers.

  • Have working knowledge of service request management tools, MS Office, Success Factors and other Payroll tools such ADP

  • Advanced English ( highly desired).
