WHAT WE ARE LOOKING FOR
We are looking for an experienced Technical Service Coordinator to join our Guerbet team. This position supports a high-volume service operation by coordinating and processing 2,000+ customer service requests annually, including assignment, tracking, closure, and invoicing, while auditing Field Service reports to ensure billing accuracy and revenue capture. This role processes hundreds of parts transactions (warranty, contract, and billable), manages loaner equipment inventory, and supports a high-volume customer contact environment across multiple systems (e.g., SAP). Additionally, the role provides administrative support impacting service revenue, billing accuracy, and contract operations, including maintaining service and contract data, supporting customer inquiries, and assisting with service-related financial processes, with broad cross-functional impact across Field Service, Finance, and Contract Administration.
YOUR ROLE
- Coordinates intake and management of customer service requests within Guerbet service systems to ensure timely response, accurate documentation, and positive customer experience.
- Creates, assigns, and manages service work orders within SAP and service platforms to support efficient field service execution and proper tracking of all service activities.
- Schedules and dispatches Field Service Engineers within assigned regions and escalations to optimize coverage, minimize downtime, and meet customer service expectations.
- Provides service contract administrative support, including responding to contract-related inquiries, assisting with quote preparation, and performing data entry within contract management processes to ensure accurate handling and maintenance of customer service agreements.
- Performs service-related administrative and financial processing within established procedures to ensure accurate billing, timely invoice completion, and support of accounts receivable activities.
- Audits field service documentation and reports within quality and compliance frameworks to maintain data accuracy, ensure regulatory adherence, and support operational integrity.
- Supports parts ordering, tracking, and returns management within supply chain processes to ensure timely availability of materials and proper handling of service-related inventory.
- Maintains and updates equipment, warranty, and customer account records within company systems to ensure data integrity and support management of service assets.
- Communicates and collaborates with internal teams, including Field Service, Technical Support, and Finance, within cross-functional workflows in order to resolve issues, support service delivery, and drive operational efficiency.
- Monitors shared service communication channels within department guidelines in order to ensure timely responses to customer and internal inquiries
- Ensures adherence to company policies, regulatory requirements, and quality standards within all service operations to maintain compliance & uphold organizational standards
- Requires successful completion of assigned training
YOUR BACKGROUND
- Minimum of 2 years of relevant experience in service coordination, administrative support, or customer service environment required
- Associate’s degree, preferred or equivalent combination of education and experience
- Experience in medical equipment, field service, or a related technical service environment preferred
- Prior experience in service dispatching or service coordination strongly preferred
- Experience supporting service contracts, quoting, or administrative processes related to customer agreements preferred
- Strong verbal, interpersonal, and written communication skills
- Proficiency in Microsoft Office applications and experience working with database systems (e.g., SAP or similar platforms).
